Executive Assistant - Chief Officer of Planning, Capital Project & Environmental Operations

Responsible for providing complex administrative support to the Chief Officer of Planning,Capital Project & Environmental Operations. Responsible for coordinating daily functions of the office, including facility management, administrative operations, and technical support. Responsibilities include maintaining and coordinating the executive's calendar, monitoring the work of administrative desk staff, editing website content for department website, preparing and maintaining audit documentation, and coordinating facility use and building space requests.
Required Education/Experience:
Associate's degree and two (2) years of experience providing administrative support to an organizational executive; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
Preferred Educaiton/Experience/Skills:
- Knowledge of Computerized Maintenance Management Systems (CMMS) - in particular SchoolDude
- Knowledge of AutoCAD software.
- Experience administering Sharepoint content.
- Knowledge of facilities/construction terminology.
- Experience administering a construction, facilities services or maintenance related office.
- Experience administering a document archive.
- Experience inputting data, tracking, and reporting Key Performance Indicators in a business environment.
- Experience acting as web master for web pages in a business environment.
Other Knowledge, Skills and Abilities:
- Advanced knowledge of Microsoft Office Suite of Products, including Word, Excel, PowerPoint, Outlook.
- Working knowledge of Word Press or similar website publishing software.
- Experience processing and tracking invoices in a business environment.
- Advanced skill in budget tracking and reporting in a business environment.
- Experience managing executive calendars, planning meetings, and developing meeting minutes.


Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
